Keep the source currency and community currency clear

A document can show charges in one currency while your community records invoices in another. Urbira lets you review the document currency and optionally convert the reviewed amounts before creating the invoice.

Select the source currency from the currency dropdown. Check the heading beside the amounts: a payment instruction mentioning bolívares does not necessarily mean the charges themselves are in bolívares. If the currency is uncertain, confirm it against the original document before continuing.

Review the rate and recorded total

When the currencies differ, Urbira recommends conversion. Activate the conversion option if that is the treatment you want. When a quote is available, review the displayed currency pair, exchange rate, and recorded-total preview.

For example, imagine two fictional currencies: Sols and Lunas. A reviewed charge of 100 Sols at an illustrative rate of 1 Sol = 40 Lunas would record 4,000 Lunas. These currencies and figures are invented solely to explain the calculation; they are not options in Urbira’s currency selector. Use the rate displayed in your review, and confirm that it is appropriate for the charge.

The preview reflects your reviewed amount. Resolve line items, allocation choices, and any confirmed document adjustment first, then check the converted total again.

Understand the choice to leave conversion off

Conversion is optional. Leaving it off records the reviewed numeric amount in the community’s currency without converting it. It does not create a foreign-currency invoice. In the example above, leaving conversion off would record 100 Lunas, not 4,000 Lunas.

If a quote is unavailable, pause to confirm the intended treatment rather than assuming that continuing without conversion gives the same result. Refresh an expired quote when prompted and review the updated total before creating the invoice.

Verify the invoice

After creation, check the recorded amount and available conversion details against your reviewed choices. The exchange rate used for this invoice does not promise the rate for a later payment or future document.

Follow the complete document-to-invoice workflow, including shared-cost allocation, before confirming a charge.
