Information we collect
We collect account and authentication information, including contact details, account preferences, login and verification information, and Google profile information you choose to share when using Google authentication.
Authorized users may enter or upload community, building, unit, resident, owner, guest, employee, board, maintenance, calendar, message, poll, document, and e-signature records. We also process billing and transaction information needed for subscriptions, credits, invoices, bills, payments, and financial reports.
We collect technical and usage information such as IP address, browser, device, app version, update requests, logs, diagnostics, error reports, cookie preferences, and analytics events when you opt in to analytics cookies.
Sources and permitted use
We receive information from you, an authorized community administrator or user who adds you to a community, your use of the service, and service providers that process payments, authentication, communications, storage, security, or support for us.
We use information to provide, secure, maintain, support, and improve the service; administer accounts and subscriptions; process transactions; communicate with users; enforce our Terms; and comply with legal obligations.
Do not provide information about another person unless you have the authority and any notices or permissions required for its use with the service.
Sharing and AI-assisted features
We disclose information to authorized users in the relevant community and to service providers that perform functions for us, such as infrastructure, payments, email and messaging, electronic signatures, support, security monitoring, and AI-assisted document processing.
When you choose an AI-assisted feature, we send selected content and information needed to process it to the configured provider solely to provide that feature. AI output may be incomplete or inaccurate and must be reviewed by an authorized user before it is relied on or posted.
We do not sell personal information, share it for cross-context behavioral advertising, or use customer content to train Urbira or third-party AI models.
Retention and account deletion
We retain information only for as long as reasonably necessary to provide the service, meet legal, accounting, security, dispute-resolution, and audit obligations, and enforce our agreements. Retention depends on the record and the community’s use of the service.
Deleting an account removes or de-identifies credentials, direct identifiers, memberships, and notification preferences. Community, financial, audit, legal, and authored-content history may be retained, transferred to an authorized successor, or anonymized when needed for other users, governance, fraud prevention, accounting, or law.
Security
We use encryption in transit and reasonable administrative, technical, organizational, server, and on-device safeguards designed to protect personal information. No method of transmission or storage is completely secure, and you are responsible for protecting your credentials and authorized devices.
If we identify a security incident, we follow our incident-response process and assess notice obligations under applicable law. We provide required notices using the contact information available to us.
Privacy rights, cookies, and choices
Depending on where you live and applicable law, you may have rights to know or access personal information, correct inaccurate information, request deletion, limit certain uses of sensitive information, and receive equal treatment for exercising those rights. We verify requests before responding.
We use necessary cookies for authentication, security, and cookie choices. Google Analytics loads only after affirmative consent; Global Privacy Control prevents optional analytics from loading. We do not use marketing pixels or targeted-advertising cookies.
Contact and policy changes
We may update this policy as our practices or legal obligations change. We will post the revised policy here and update its effective date; where required, we will provide additional notice or request consent.
